When entering text and resolving e-mail names in the recipient wells, there are three unique states:
Resolved, Unresolved and Ambiguous. After a name has been resolved, the text is no longer editable but may be deleted from the recipient well by pressing backspace or by selecting one or more resolved names and pressing the Delete key. Users must press enter to select items for the recipient wells and can also hightlight an item in the top of the list and then click to view properties within the same dialog.
Resolved to name or SMTP address = blue #3355CC and underlined
When external addresses are resolved, the address is always displayed. OWA will show the display name if a display name exists that matches the address.
Unresolved state has no matches. This state is presented as gray text with dashed red underline to shot that it has not yet been resolved to any e-mail address. Before sending, users will automatically be shown a menu stating that the name was not found and they are able remove the name without sending the item. This menu is also available on right-click of unresolved names. The menu includes a header that states: No exact match was found.
Ambiguous state is where the system finds more than one possible match. This state is also presented as gray text with dashed red underline to show that it has not yet been resolved to any e-mail address. Names in this state display a menu with suggestions based on text entered. The menu will expand vertically to show a maximum of 10 names, then add a scrollbar to the right of the names for inclusion within the menu of up to 100 names. If fewer than 10 possible matches, hide scrollbar. The menu header is the same as the unresolved state: No exact match was found.
Properties
Once a name has been highlighted by either pressing the down arrow or mouse-hovering on the item within the menu, the Properties button is shown. Clicking on the name will select the name and add it to the recipient well in the resolved state. Mouse-hovering on the Properties item displays an underline. Clicking on the underlined Properties link will enable users to view the Properties sheet or Contact card for individual contacts. Opening Properties for an individual name does not close the menu. The menu closes only when a name has either been selected or removed.
Editing and deleting ambiguous names
This is also the same as the unresolved state (see above).
Conflict resolution
The user must resolve the name or remove the entry before sending the message. When a user selects a name from the menu by either single clicking on an item or by keying into the list and pressing Enter, the unresolved name is changed to resemble the resolved format in the well.
Remove Without Sending
Selecting this item closes the menu and removes the name from the recipient well.
Recipient auto-complete is the feature where we suggest known resolved names to the user in a menu as they address an e-mail message. After each key press, we will display a menu of previously resolved names that match the first N characters typed to the SMTP address, [bracket format], display first name, display last name, yomi name and alias. We progressively narrow the list of names from a maximum of 10 until there are no matches and the menu disappears. Resolved names are shown as display name followed by SMTP address in parense. Resolved SMTP addresses are shown as the entire resolved addresses:
Users can keep typing, use the mouse to click their choice, or press the arrow keys and 'Enter' to select from names in the list. Users may also ignore the most recently used list and enter a name that may have multiple e-mail addresses in either the Global Address List or the users primary Contacts folder. After pressing Send, Ctrl+K or Alt+K, the possible matches are displayed. The user must resolve the name or remove the entry before sending the message.
